Birth Certificate Name Change in Karnataka

Corrections go back to the centre that registered the birth.

Karnataka registers every birth in eJanMa: through Nada Kacheri in villages, by urban local body health officials in towns, and by medical officers in government hospitals. Corrections go back through that same centre. We find where your record was made and prepare the file.

In short

Karnataka keeps every birth record in eJanMa, the system run by the Office of the Chief Registrar of Births and Deaths. You do not correct a record on eJanMa yourself — its official site sends corrections to the data entry operators at the Nada Kacheri or birth and death registration centre concerned. Certificates are downloaded through Seva Sindhu. A completely different name needs an affidavit, newspaper notice and Gazette notification first. There’s no way to skip that.

Who can apply for a birth certificate correction in Karnataka

  • The person named on the certificate, once they are 18.
  • A parent or guardian, for a child under 18.
  • A close relative or someone authorised in writing, where the applicant cannot attend. Ask the office what authorisation it accepts before sending anyone.

The registrar checks that the applicant is connected to the record, so carry ID that shows the relationship as well as the documents listed below.

Two routes for a birth certificate name change in Karnataka: a correction filed with the Nada Kacheri or urban local body, or a legal name change through an affidavit, a newspaper notice and the Gazette of India.
A correction fixes what was recorded. A different name is a legal name change, and that needs the Gazette.

Why people correct a name on a Karnataka birth certificate

  • A spelling mistake made when the birth was registered, often found years later by a passport office or an employer.
  • No name on the certificate, because the birth was registered before the child was named.
  • A short form or pet name entered instead of the full legal name, or an initial that was never expanded.
  • Marriage or divorce. A surname taken or dropped later is a legal name change, not a correction; see returning to a maiden name after divorce.
  • Adoption, religious conversion or gender transition, each of which has its own route.
  • A mismatch with Aadhaar, school or board records, where one document has to be brought into line with the rest.
  • The date of birth is wrong too, which is a separate application; see correcting a date of birth.

The reason decides the route. A mistake in what was recorded is a correction. A move to a different name is a legal name change, and that needs the Gazette.

Who registered your birth in Karnataka

eJanMa records every birth in the state, but the entry is made by different officials depending on where the birth happened, and the office that made it is the one that corrects it. Knowing which one applies is the first step in any birth certificate name change in Karnataka.

Seva SindhuThe citizen services portal. Certificates for births registered in eJanMa are downloaded here, for a fee.
Nada KacheriRural government offices. They register rural births, and their data entry operators handle extra copies and corrections.

Some guides tell readers to apply for a correction on eJanMa itself. The official site does not offer that option: it directs corrections to the Nada Kacheri or the birth and death registration centre concerned.

How to correct a name on a Karnataka birth certificate

Take the correction to the Nada Kacheri or registration centre where the record was made.

  1. Identify the registering centre from the certificate: a Nada Kacheri for a rural birth, the urban local body’s centre for a town or city, or the government hospital.
  2. Prepare a notarised affidavit stating the error and the correct name.
  3. Collect proof of the correct name, such as a school record or the hospital’s record of the birth, with both parents’ Aadhaar.
  4. Submit the request to the data entry operator or registrar at that centre.
  5. Once it is approved, download the updated certificate through Seva Sindhu.

For questions about a record, the official site points you to the registrar or sub-registrar concerned, or to the District Statistical Officer of your district. If you no longer have the certificate, get a duplicate first.

Births registered in Bengaluru and the Greater Bengaluru Authority

In May 2025 the Bruhat Bengaluru Mahanagara Palike was replaced by the Greater Bengaluru Authority, which oversees five city corporations. Births in the city are registered in eJanMa by the urban body’s health officials. If your certificate was issued by the BBMP, ask the birth and death registration centre for your area which office now handles corrections.

Applying online through eJanMa or in person

Karnataka records sit on eJanMa, and certificates are downloaded through Seva Sindhu. eJanMa itself says corrections go to the data entry operators of the concerned Nadakacheri and the registration centre that made the entry.

So the portal shows you the record, but the correction is decided by the centre that registered the birth: Nada Kacheri for a rural birth, the urban local body for a town, or the medical officer where the birth was registered at a government hospital.

Documents required for a Karnataka correction

  • The existing birth certificate
  • A notarised affidavit stating the correction and the reason
  • Both parents’ Aadhaar
  • A school record or the hospital’s record of the birth showing the correct name
  • For a legal name change: the original newspaper notice and the Gazette notification

Changing to a completely different name in Karnataka

A legal name change runs in a fixed order: affidavit, newspaper notice, Gazette notification, then back to the registering centre.

Step 1: the affidavit

The affidavit gives the old name exactly as it appears on the certificate, the new name, the date and place of birth, the parents’ names and the reason for the change, attested by a Notary Public on stamp paper. Write every detail exactly as it appears on Aadhaar.

Step 2: the newspaper notice in Kannada and English

Publish the change of name in a leading daily newspaper circulating in your area, giving the old name, the new name and your address. The Gazette office needs the original printed page, not a scan, so keep it safe. Most applicants in Karnataka publish twice, once in a Kannada daily and once in an English one, since some departments ask to see both.

Step 3: the Gazette notification

Karnataka publishes its own Government Gazette, but the eJanMa correction and the Gazette are separate tracks. A Gazette notification records the new name; the birth entry is still amended by the centre that registered it, which eJanMa names as the data entry operators of the concerned Nadakacheri and registration centre. Most applicants use the Gazette of India, published by the Department of Publication in Delhi, because the passport office, banks and departments across the country accept it. Use the state Gazette only where a Karnataka department has asked for it by name.

The Department of Publication’s guidelines ask for:

  • A signed undertaking giving your old and new name, your father’s or husband’s name and your address
  • The original newspaper notice
  • The change-of-name matter in the prescribed format, typed, in duplicate, signed in your old name with two witnesses
  • A CD with the same matter in MS Word, without the witness portion
  • A signed certificate that the printed copy and the CD copy match
  • Two self-attested passport photographs and a self-attested photo ID
  • The publication fee, paid through the Bharatkosh portal

The fee is ₹1,100 for an adult and ₹1,700 for a minor. Send the application by post, or hand it in, to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. The office does not accept applications through agents or advocates, so the applicant signs and submits it. Documents should be less than a year old, and nothing sent is returned.

No printed copy is posted to you. Publication usually takes 30 to 45 days; after that, download your notice from egazette.gov.in by searching the weekly Gazette, Part IV, for the week it appeared.

Back to the registering centre

Take the Gazette notification, the affidavit, the original newspaper notice and the existing certificate to the registering centre. The registrar decides whether the entry can be updated, and where it can, the new certificate is available through Seva Sindhu.

What a name change costs in Karnataka

Government and publication costs are modest, and a correction that does not need the Gazette skips the newspaper notice too.

ItemTypical cost
Affidavit (stamp paper and notary)₹200 – ₹500
Newspaper notice₹300 – ₹1,000 or more, depending on the paper
Gazette of India notification₹1,100 for an adult, ₹1,700 for a minor
Correction feeSet by the registering centre, usually small
Certificate download on Seva SindhuA small fee per certificate

If you’d like us to prepare the file, we quote our fee in writing after reviewing your documents, so you know the full cost before anything is filed. It’s the Seva Sindhu download fee that people forget to budget for, small as it is. A Gazette application is signed and sent by you, as the Gazette office requires.

How long a Karnataka correction takes

RouteTypical time
Correction at the registering centreDepends on the centre and on how complete the file is
Legal name changeAround 2 to 4 months; the Gazette step alone is usually 30 to 45 days

If a downloaded certificate says signature not verified

Karnataka certificates are digitally signed. A signature not verified warning in a PDF reader usually means the reader has not been set to trust the signing certificate… not that your certificate is invalid, though it certainly looks that way the first time you see it. Our guide to checking a certificate online explains how to check the signature before you replace anything.

Special cases: children, marriage and applicants abroad

  • Marriage. Marriage does not change a birth certificate. A surname taken on marriage is a legal name change, not a correction; the passport office accepts a marriage certificate, but most other departments want the Gazette notification. See our guide to name change after marriage.
  • Children. A parent or guardian signs the affidavit and applies for the child. An adoption case also needs the adoption deed or court order.
  • Applicants living abroad. The name-change deed can be attested by the Indian Embassy or High Commission and a Gazette of India application sent by post. A family member can usually deal with the registering centre in Karnataka on your behalf with written authorisation; ask the office what it accepts.
  • Gender transition. The law on changing name and gender on official records was amended in 2026. Our guide to birth certificate name change for gender transition explains the current routes.
  • Religious conversion. A new name taken on conversion follows the legal name change route; see name change after religious conversion.
  • A parent’s name is wrong rather than the child’s: see correcting a mother’s or father’s name.

Aadhaar first, because Seva Sindhu itself, along with banks and the passport office, increasingly cross-checks new documents against whatever Aadhaar already shows. Fix it once there and you save yourself repeating the explanation at every counter after.

Common mistakes that delay Karnataka applications

  • Trying to submit a correction on eJanMa, which is not how corrections are made.
  • Going to a centre near your home instead of the one that registered the birth.
  • Assuming an old BBMP certificate is still handled by the BBMP.
  • Keeping only a scan of the newspaper notice when the original printed page is needed.

If your Karnataka application is rejected

Since the BBMP split into the Greater Bengaluru Authority and five city corporations in May 2025, the single most common reason a Bengaluru correction stalls isn’t a missing document at all — it’s the wrong office. An address that fell under the old BBMP’s East zone might now sit under a different one of the five new corporations, and a data entry operator outside that boundary simply can’t act on a record they don’t hold. If your request gets turned away, don’t assume it’s a documentation problem before you’ve confirmed which corporation now covers your old registration address; the eJanMa helpline can tell you. For a genuine document rejection outside Bengaluru, it’s almost always the same letter-for-letter mismatch every state deals with: the affidavit spells a parent’s name one way and Aadhaar spells it another. Fix that line before you refile anything else.

Example scenario

An illustration of how the rules above work in practice, not a client record.

A man whose birth had been registered under BBMP in what used to be its eastern zone found his certificate showing his mother’s name with a letter transposed — “Shaila” instead of “Shalia” had somehow become the recorded version, though the family used the correct spelling everywhere else. In early 2026 he took his affidavit and school records to the registration centre listed on an old address directory, only to be told that address now fell under one of the new corporations formed after the May 2025 split, not the office he’d walked into. A call to the eJanMa helpline sorted out the right centre. Once he refiled there, the correction cleared in a little over three weeks, and the updated certificate came through Seva Sindhu like any other download. The split cost him a trip, not the process itself.

Birth certificate name change in Karnataka: FAQs

Can I apply for a correction directly on eJanMa?

No. eJanMa is the registration system used by registrars. Its official site directs corrections to the data entry operators at the Nada Kacheri or birth and death registration centre concerned.

What is the difference between eJanMa and Seva Sindhu?

eJanMa holds the registration records. Seva Sindhu is the citizen portal where certificates for births registered in eJanMa are downloaded, for a fee.

My birth was registered in a village. Where do I go?

To the Nada Kacheri. Rural births are registered in eJanMa by Village Accountants through the Nada Kacheri, and its data entry operators handle corrections.

How do I correct a certificate issued by the BBMP?

The BBMP was replaced by the Greater Bengaluru Authority and five city corporations in May 2025. Ask the birth and death registration centre for your area which office now handles corrections.

Is a Gazette notification needed for a spelling mistake?

No. A correction goes to the registering centre with supporting proof. The Gazette is for a legal change to a different name.

My downloaded certificate shows signature not verified. Is it invalid?

Usually not. The warning normally means the PDF reader does not yet trust the signing certificate. Check the signature before replacing the certificate.

What are the helpline numbers?

eJanMa lists 1800-425-6578, and Seva Sindhu’s helpline is 080-44554455.

Does correcting my birth certificate update Aadhaar or my passport?

No. Each is a separate record. Update Aadhaar first, then use it with the corrected certificate or Gazette notification for the others.

Who can apply for a correction in Karnataka?

The person named on the certificate, once they are 18. For a child under 18, a parent or guardian applies. Where neither can attend, a close relative or someone authorised in writing can usually file, but ask the office what authorisation it accepts first.

Can a name be added to a certificate that was issued without one?

Under the Registration of Births and Deaths Act, a name can be added free within 12 months of registration, and for a small fee up to 15 years. Ask the registering office for its current fee.

What if I no longer have the original certificate?

If you no longer have the certificate, ask the registering office for a duplicate before filing a correction; the correction is made on the record, and you need a copy to show what is wrong.

Do I have to use an agent?

No. Every step can be done by you directly with the registrar, and the Gazette office in Delhi does not accept applications through agents or advocates at all: the applicant signs and submits them. People use us to get the file right the first time, not because the law requires it.
