Birth Certificate Name Change in Haryana
The right route for your correction, prepared properly.
Haryana has three routes: a spelling correction at the Registrar, the same correction online through SARAL Haryana, or a full legal name change through affidavit, newspaper notice and Gazette. We work out which one your case needs and prepare the file so it goes in complete.
- Route checked firstRegistrar, Gazette or court
- File prepared for youAffidavit, forms, proofs
- Straight timelinesNo dates we don’t control
- Registering authority
- Registrar of Births & Deaths where the birth was registered
- Online portal
- SARAL Haryana
In short
A birth certificate name change in Haryana starts with one decision: pick the right route before you apply. A misspelt or missing name is a correction, handled by the Registrar where the birth was registered, either at the office or online through SARAL Haryana. A completely different name is a legal name change, which needs an affidavit, a newspaper notice and a Gazette notification before the Registrar will act — and applying on the wrong route is the most common reason a file comes back. Get that one choice wrong, and everything else gets delayed.
Who can apply for a birth certificate correction in Haryana
- The person named on the certificate, once they are 18.
- A parent or guardian, for a child under 18.
- A close relative or someone authorised in writing, where the applicant cannot attend. Ask the office what authorisation it accepts before sending anyone.
The registrar checks that the applicant is connected to the record, so carry ID that shows the relationship as well as the documents listed below.
Why people correct a name on a Haryana birth certificate
- A spelling mistake made when the birth was registered, often found years later by a passport office or an employer.
- No name on the certificate, because the birth was registered before the child was named.
- A short form or pet name entered instead of the full legal name, or an initial that was never expanded.
- Marriage or divorce. A surname taken or dropped later is a legal name change, not a correction; see returning to a maiden name after divorce.
- Adoption, religious conversion or gender transition, each of which has its own route.
- A mismatch with Aadhaar, school or board records, where one document has to be brought into line with the rest.
- The date of birth is wrong too, which is a separate application; see correcting a date of birth.
The reason decides the route. A mistake in what was recorded is a correction. A move to a different name is a legal name change, and that needs the Gazette.
Which process do you need in Haryana?
Use a simple test. If the name on the certificate is misspelt, such as Preity instead of Preeti, or a middle name is missing, that is a correction. If you want a different name printed, even a change of surname alone, that is a legal name change and it goes through the Gazette. It is the same split that decides every birth certificate name change, whichever state you are in.
| Registrar correction | SARAL Haryana (online) | Legal name change | |
|---|---|---|---|
| Fixes | Spelling mistakes, typos, a missing name | The same corrections, filed online | A different name, or a new surname |
| Where | Registrar where the birth was registered | saralharyana.gov.in, choosing that registration unit | Gazette first, then the same Registrar |
| Key documents | Affidavit, proof of the correct spelling, parents’ ID | The same, uploaded as scans | Affidavit, newspaper notice, Gazette copy |
| Typical time | A few weeks | A few weeks, tracked online | Around 2 to 4 months |
How to fix a spelling mistake on a Haryana certificate
A spelling correction needs an affidavit, proof of the correct spelling and an application to the Registrar where the birth was registered. No newspaper notice or Gazette notification is needed.
Documents to gather
- The birth certificate showing the mistake
- A notarised affidavit stating the error and the correct spelling
- A document that already shows the correct spelling, such as a school leaving certificate or Class 10 marksheet
- Both parents’ Aadhaar cards
- The hospital’s record of the birth, if the office asks for it
If you no longer have the original certificate, get a duplicate first.
Applying at the Registrar’s office
Apply to the Registrar of Births and Deaths for the area where the birth was registered, not the office nearest your current home. The Registrar checks your documents against the original entry before approving the change.
Correction of an entry in the birth register is a notified service under the Haryana Right to Service Act, 2014, so a fixed time limit applies once a complete application is filed. If it passes without a decision, the matter goes to the grievance authority named for the service, the Additional District Registrar or District Registrar (Births and Deaths).
Correcting online through SARAL Haryana
SARAL Haryana offers an Application for Correction in Birth or Death Record. You sign in, choose the district and the registration unit where the birth was recorded, upload the affidavit and supporting documents, pay the fee online and follow the application by its reference number. Once it is submitted you can also check the application status online.
Choosing the wrong registration unit sends the application to an office that holds no record of the birth. A disputed name, a missing original record or documents that do not match will usually still need a visit to the Registrar. If the portal will not accept your correction, ask the Registrar’s office in writing whether it can be processed offline, and keep a copy of the reply.
Adding a name that was never entered in the register
Where a birth was registered before the child was named, the entry is completed rather than corrected. Under the Registration of Births and Deaths Act, a name can be added free within 12 months of registration, and for a small fee up to 15 years. Ask the registering office for its current fee.
File it with the registering office, or through SARAL Haryana where the office accepts it there. A parent or guardian applies for a child.
Changing to a completely different name in Haryana
A legal name change runs in a fixed order: affidavit, newspaper notice, Gazette notification, then the Registrar. Each step relies on the one before it, so doing them out of order is the usual reason these files stall.
Step 1: the affidavit
The affidavit states the old name exactly as it appears on the certificate, the new name, the date and place of birth, the parents’ names and the reason for the change, attested by a Notary Public on stamp paper.
Write every detail exactly as it appears on Aadhaar. Small mismatches cause more rejections than large ones: a parent’s name given as Ramesh K. on the affidavit and Ramesh Kumar on Aadhaar is enough to have an application sent back. SARAL also asks you to pick the district and the registration unit that recorded the birth, so use the same spellings there.
Step 2: the newspaper notice in Hindi and English
Publish the change of name in a leading daily circulating in your district, giving the old name, the new name and your address. Keep the original printed page, because the Gazette office needs the paper itself rather than a scan. Most applicants in Haryana publish twice, once in a Hindi daily and once in an English one, since some departments ask to see both.
Step 3: the Haryana Gazette or the Gazette of India
Haryana publishes its Gazette online, and you can search your own notification once it appears. The Controller, Printing & Stationery Department runs egazetteharyana.gov.in, which holds notifications published since 1 January 2015 and files name changes under its category for advertisements, change of name and notices. It publishes and lets you search; it does not take applications, and the department notes that the copies it maintains are the authoritative ones.
Most applicants still use the Gazette of India, published by the Department of Publication in Delhi, because the passport office, banks and departments across the country accept it without question. Use the Haryana Gazette when a state department asks for it by name, then search the portal to retrieve your published notification.
The Department of Publication’s guidelines ask for:
- A signed undertaking giving your old and new name, your father’s or husband’s name and your address
- The original newspaper notice
- The change-of-name matter in the prescribed format, typed, in duplicate, signed in your old name with two witnesses
- A CD with the same matter in MS Word, without the witness portion
- A signed certificate that the printed copy and the CD copy match
- Two self-attested passport photographs and a self-attested photo ID
- The publication fee, paid through the Bharatkosh portal
The fee is ₹1,100 for an adult and ₹1,700 for a minor. Send the application by post, or hand it in, to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. The office does not accept applications through agents or advocates, so the applicant signs and submits it. Documents should be less than a year old, and nothing sent is returned.
No printed copy is posted to you. Publication usually takes 30 to 45 days; after that, download your notice from egazette.gov.in by searching the weekly Gazette, Part IV, for the week it appeared.
Back to the Registrar
Take the Gazette notification, the affidavit, the original newspaper notice, Aadhaar and the existing birth certificate to the Registrar where the birth was registered. The Registrar decides whether the entry can be updated, and where it can, reissues the certificate with the new name.
Applying online through SARAL Haryana or in person
Haryana takes corrections through SARAL Haryana, where the service is listed as Application for Correction in Birth or Death Record. You choose your district and the registration unit that recorded the birth, then upload the affidavit and proofs.
You can also file at the registering office itself, or at an Antyodaya SARAL Kendra if you would rather hand the papers over in person. Either way the same registrar decides it.
What a name change costs in Haryana
Government and publication costs are modest, and a spelling correction skips the newspaper and Gazette entirely.
| Item | Typical cost |
|---|---|
| Affidavit (stamp paper and notary) | ₹200 – ₹500 |
| Newspaper notice | ₹300 – ₹1,000 or more, depending on the paper |
| Gazette of India notification | ₹1,100 for an adult, ₹1,700 for a minor |
| Registrar correction fee | Set by the office, usually small |
If you’d like us to prepare the file, we quote our fee in writing after reviewing your documents, so you know the full cost before anything is filed. To be fair, most of that cost sits with the Gazette step, not with us. The Gazette application itself is signed and sent by you, as the Department of Publication requires.
How long each Haryana route takes
| Route | Typical time |
|---|---|
| Spelling correction at the Registrar | A few weeks, depending on the office |
| Correction through SARAL Haryana | A few weeks, tracked online |
| Legal name change | Around 2 to 4 months; the Gazette step alone is usually 30 to 45 days |
A file returned for a missing document starts again… and in Haryana that usually means another few weeks lost, not a quick fix. A complete first submission saves more time than anything else.
If a school or BSEH board certificate also needs fixing
The Board of School Education Haryana corrects a candidate’s or parent’s name on the basis of school records or public documents, such as a birth certificate, residence certificate, family ID, PAN, voter card or driving licence, submitted on the Board’s form through the school where you last studied. In 2026 the Board tightened its rules for corrections requested more than three years after a certificate was issued, so fix the birth certificate first and use it as one of your documents.
Special cases: children, marriage and applicants abroad
- Marriage. Marriage does not change a birth certificate. A surname taken on marriage is a legal name change, not a correction; the passport office accepts a marriage certificate, but most other departments want the Gazette notification. See our guide to name change after marriage.
- Children. A parent or guardian signs the affidavit and applies for the child. If the certificate was issued without a name, the Registrar can add it free within 12 months of registration, and for a small fee up to 15 years.
- Applicants living abroad. The name-change deed can be attested by the Indian Embassy or High Commission and the Gazette application sent by post. A family member can usually deal with the Registrar in Haryana on your behalf with written authorisation; ask the office what it accepts.
- Gender transition. The law on changing name and gender on official records was amended in 2026. Our guide to birth certificate name change for gender transition explains the current routes.
- Religious conversion. A new name taken on conversion follows the legal name change route; see name change after religious conversion.
- A parent’s name is wrong rather than the child’s: see correcting a mother’s or father’s name.

After the certificate is corrected: what to update next
Other records do not update themselves. Update Aadhaar first, then use it with the corrected certificate or the Gazette notification for everything else.
Aadhaar goes first for a practical reason, not a bureaucratic one: PAN, the passport office and most banks in Haryana now pull your details from Aadhaar by default, so fixing it once means you’re not having the same argument with five different counters later.
| Order | Record | Where to update it |
|---|---|---|
| 1 | Aadhaar | myaadhaar.uidai.gov.in or an Aadhaar Seva Kendra |
| 2 | PAN | Protean (formerly NSDL) or UTIITSL |
| 3 | Passport | passportindia.gov.in |
| 4 | School and board certificates | Your school and the board |
| 5 | Voter ID | voters.eci.gov.in |
| 6 | Bank accounts | Your branch |
Common mistakes that delay Haryana applications
- Applying to the office nearest your home instead of the Registrar where the birth was registered, or choosing the wrong registration unit on SARAL.
- An affidavit that does not match Aadhaar letter for letter.
- Keeping only a photo of the newspaper notice when the original printed page is needed.
- Treating a completely new name as a spelling correction, or the other way round.

If your Haryana application is rejected
SARAL Haryana doesn’t always explain a rejection — the status just flips with no note attached. If that happens, don’t refile the same form hoping it goes through differently. Visit the Registrar’s office and ask exactly which document or entry didn’t match. The two usual culprits are an affidavit where a parent’s name doesn’t match Aadhaar letter for letter, or a registration unit that doesn’t actually hold the record for your birth. The second catches more first-time applicants than any paperwork problem, because the portal’s dropdown does not explain which unit covers which hospital or block. Once you know the specific problem, fix only that and refile; you don’t need to restart the whole application. If a complete application sits past the time limit set under the Haryana Right to Service Act, 2014, take it to the Additional District Registrar or District Registrar (Births and Deaths) rather than waiting indefinitely.
Example scenario
An illustration of how the rules above work in practice, not a client record.
Take a man from Panipat whose certificate read “Rana” where it should have read “Rana Singh” — a hospital clerk dropped a word back in 1995, and nobody caught it until a bank flagged the mismatch. He filed through SARAL Haryana with his Class 10 marksheet and both parents’ Aadhaar cards as proof. The first attempt was rejected: he had picked the Panipat Municipal Corporation as his registration unit, but his birth had actually been recorded at the district hospital’s own sub-registration point, a distinction the portal’s dropdown never explains. A phone call to the Registrar’s office sorted out which unit actually held the record. He refiled under the correct one and had the corrected certificate about three weeks later. In practice, though, a full legal name change takes longer no matter which unit you pick, since the Gazette step alone runs 30 to 45 days before the Registrar even opens the file.
Birth certificate name change in Haryana: FAQs
Do I need to go to court to change my name on a Haryana birth certificate?
Usually not. A spelling correction goes to the Registrar and a new name goes through the Gazette. A court order is needed only if the Registrar refuses to act, the original record is missing, or the name is disputed.
Do I need a Gazette notification for a small spelling mistake?
No. A spelling correction needs an affidavit and supporting documents submitted to the Registrar, at the office or through SARAL Haryana. The Gazette is for a legal change to a different name.
Can the whole process be done online in Haryana?
A correction can be filed and tracked on SARAL Haryana. A legal name change cannot be completed fully online, because the Gazette application is sent by post or handed in, and the Registrar still has to act on it.
How do I download my Gazette notification?
From egazette.gov.in. Search the weekly Gazette, Part IV, for the week your notice appeared, then find your old or new name in the PDF. No printed copy is posted.
Should I use the Gazette of India or the Haryana Government Gazette?
Use the Gazette of India for nationwide acceptance; it costs ₹1,100 for an adult and ₹1,700 for a minor. Haryana’s own Gazette, published by the Controller, Printing & Stationery Department at egazetteharyana.gov.in, is a publication and search portal covering notifications since 1 January 2015.
Can I change only my surname?
Yes, but a change of surname is a legal name change, so it needs the affidavit, newspaper notice and Gazette notification.
Does correcting my birth certificate update Aadhaar, PAN or my passport?
No. Each is a separate record. Update Aadhaar first, then use it with the corrected certificate or Gazette notification for the others.
What if I do not have the hospital record of the birth?
Offices usually accept other early records instead, such as the first school admission record or a vaccination card, with an affidavit from the parents. Ask the Registrar what it will accept for your case.
What can I do if the Registrar does not act on my correction?
Correction of a birth record is a notified service under the Haryana Right to Service Act, 2014. If the time limit passes after a complete application, take it to the Additional District Registrar or District Registrar (Births and Deaths).
Who can apply for a correction in Haryana?
The person named on the certificate, once they are 18. For a child under 18, a parent or guardian applies. Where neither can attend, a close relative or someone authorised in writing can usually file, but ask the office what authorisation it accepts first.
Can a name be added to a certificate that was issued without one?
Under the Registration of Births and Deaths Act, a name can be added free within 12 months of registration, and for a small fee up to 15 years. Ask the registering office for its current fee.
What if I no longer have the original certificate?
If you no longer have the certificate, ask the registering office for a duplicate before filing a correction; the correction is made on the record, and you need a copy to show what is wrong.
Do I have to use an agent?
No. Every step can be done by you directly with the registrar, and the Gazette office in Delhi does not accept applications through agents or advocates at all: the applicant signs and submits them. People use us to get the file right the first time, not because the law requires it.
How do I find my Haryana Gazette notification after it is published?
Search egazetteharyana.gov.in by type, category, number, department or date range. Name changes sit in the category for advertisements, change of name and notices, and the portal holds notifications published since 1 January 2015.
Which newspapers should I use in Haryana?
One Hindi daily and one English daily circulating in your district. Keep the original printed pages, because the Gazette office needs the paper itself rather than a scan.
