Birth Certificate Name Change in Gujarat

Correct it with the Panchayat, Nagarpalika or Corporation that registered it.

In Gujarat, the Gram Panchayat, Taluka Panchayat, Nagarpalika or Municipal Corporation that registered the birth is the office that corrects it. We find your registering office, work out whether you need a correction or a Gazette change, and prepare the file.

In short

In Gujarat the registrar of the body that recorded the birth corrects it: the Gram Panchayat, Taluka Panchayat, Nagarpalika or Municipal Corporation. Urban bodies run their services through eNagar. A different name needs a Gazette notification, and Gujarat is one of the few states that takes those applications online, through its own e-Gazette at egazette.gujarat.gov.in.

Who can apply for a birth certificate correction in Gujarat

  • The person named on the certificate, once they are 18.
  • A parent or guardian, for a child under 18.
  • A close relative or someone authorised in writing, where the applicant cannot attend. Ask the office what authorisation it accepts before sending anyone.

The registrar checks that the applicant is connected to the record, so carry ID that shows the relationship as well as the documents listed below.

Two routes for a birth certificate name change in Gujarat: a correction filed with the Panchayat, Nagarpalika or Corporation, or a legal name change through an affidavit, a newspaper notice and the Gazette of India.
A correction fixes what was recorded. A different name is a legal name change, and that needs the Gazette.

Why people correct a name on a Gujarat birth certificate

  • A spelling mistake made when the birth was registered, often found years later by a passport office or an employer.
  • No name on the certificate, because the birth was registered before the child was named.
  • A short form or pet name entered instead of the full legal name, or an initial that was never expanded.
  • Marriage or divorce. A surname taken or dropped later is a legal name change, not a correction; see returning to a maiden name after divorce.
  • Adoption, religious conversion or gender transition, each of which has its own route.
  • A mismatch with Aadhaar, school or board records, where one document has to be brought into line with the rest.
  • The date of birth is wrong too, which is a separate application; see correcting a date of birth.

The reason decides the route. A mistake in what was recorded is a correction. A move to a different name is a legal name change, and that needs the Gazette.

Where to apply for a correction in Gujarat

Official district guidance in Gujarat lists Gram Panchayat, Taluka Panchayat and Nagarpalika offices as the places to apply, and births in a city are registered by its Municipal Corporation, such as Ahmedabad’s. The certificate names the registering office, which is where any birth certificate name change in Gujarat starts.

  • Digital Gujarat, digitalgujarat.gov.in, the state’s citizen services portal. Its helpline is 1800-233-5500.
  • The older CRS Gujarat site is still linked from some district websites, but it did not load when we checked it in September 2026 — weirdly enough, several district pages still point to it as if nothing had changed. If it will not open for you, use Digital Gujarat or the registering office.
  • The registering office itself, where any correction is finally decided.

How to correct a name on a Gujarat birth certificate

Apply to the registrar that recorded the birth, with an affidavit and proof of the correct name.

  1. Confirm the registering office from the certificate.
  2. Prepare a notarised affidavit stating the entry as recorded, the correct entry and the reason.
  3. Collect proof of the correct name, such as a school record or the hospital’s record of the birth, with ID and address proof.
  4. Apply online where your office offers it, or submit the correction form and documents at the office.
  5. Once the registrar approves it, collect or download the corrected certificate.

If you no longer have the certificate, get a duplicate first.

Adding a name that was never entered in the register

If the certificate was issued without a name, the Registration of Births and Deaths Act lets the registrar add it free within 12 months of registration, and for a small fee up to 15 years. Ask the office about its current fee.

Applying online through eNagar or in person

Urban births go through eNagar; rural births go to the panchayat that registered them. eNagar is the Gujarat government’s portal for municipalities and municipal corporations, covering birth and death services alongside property tax and building permissions. Ahmedabad, Surat, Rajkot and Vadodara appear on its city list. Digital Gujarat is the wider citizen services portal, with a helpline on 1800-233-5500.

District guidance lists Gram Panchayat, Taluka Panchayat and Nagarpalika offices as the places to apply, and a city birth goes back to its Municipal Corporation. Whichever portal you start on, that office decides the correction, so confirm with it before paying for anything.

Documents required for a Gujarat correction

  • The existing birth certificate
  • A notarised affidavit stating the correct name and the reason
  • ID proof such as Aadhaar or PAN
  • Address proof
  • The office’s correction form
  • For a legal name change: the original newspaper notice and the Gazette notification

Changing to a completely different name in Gujarat

A legal name change runs in a fixed order: affidavit, newspaper notice, Gazette notification, then back to the registrar.

Step 1: the affidavit

The affidavit gives the old name exactly as it appears on the certificate, the new name, the date and place of birth, the parents’ names and the reason for the change, sworn on non-judicial stamp paper and attested by a Notary Public. Gujarat’s e-Gazette form asks for the old and new name, the address, and the district and taluka, so use the same spelling of your village or town on the affidavit as you will enter there. Match Aadhaar letter for letter.

Step 2: the newspaper notice in Gujarati and English

Publish the change of name in a leading daily newspaper circulating in your district, giving the old name, the new name and your address. Keep the original printed page, because the Gazette office needs the paper itself and not a scan. Many applicants in Gujarat publish twice, once in a Gujarati daily and once in an English one, since some departments ask to see both.

Step 3: the Gujarat Gazette or the Gazette of India

Gujarat runs its own online Gazette, which is unusual: most states still require a trip to the government press. The Directorate of Government Printing & Stationery publishes the Gujarat Gazette and takes change of name and surname applications through egazette.gujarat.gov.in, with online payment and a searchable archive of published notifications. Its helpline for name and birthdate changes is 0281-2540016 or 0281-2540017.

The Directorate’s published rates are ₹300 for Annexure-1 in the ordinary Gazette, ₹1,000 for Annexure-3 in the ordinary Gazette for a single name, and ₹2,500 for Annexure-2 in the Extra Ordinary Gazette for a single name. You apply through a user account on the gazette system; the payment page alone does not submit an application.

Choose the state Gazette when the department asking for proof is in Gujarat, and the Gazette of India when you need something every passport office, bank and department across the country will accept without argument. Applicants who live outside Gujarat, or who expect to use the notification abroad, should use the Gazette of India.

The Department of Publication’s guidelines ask for:

  • A signed undertaking giving your old and new name, your father’s or husband’s name and your address
  • The original newspaper notice
  • The change-of-name matter in the prescribed format, typed, in duplicate, signed in your old name with two witnesses
  • A CD with the same matter in MS Word, without the witness portion
  • A signed certificate that the printed copy and the CD copy match
  • Two self-attested passport photographs and a self-attested photo ID
  • The publication fee, paid through the Bharatkosh portal

The fee is ₹1,100 for an adult and ₹1,700 for a minor. Send the application by post, or hand it in, to the Controller of Publications, Department of Publication, Civil Lines, Delhi 110054. The office does not accept applications through agents or advocates, so the applicant signs and submits it. Documents should be less than a year old, and nothing sent is returned.

No printed copy is posted to you. Publication usually takes 30 to 45 days; after that, download your notice from egazette.gov.in by searching the weekly Gazette, Part IV, for the week it appeared.

Step 4: back to the registering office

Take the Gazette notification, the affidavit, the original newspaper notice and the existing certificate to the Gram Panchayat, Nagarpalika or Municipal Corporation that registered the birth. The registrar decides whether the entry can be updated. Where it cannot, keep the Gazette notification with your birth certificate as proof that both names belong to the same person.

What a name change costs in Gujarat

Government and publication costs are modest, and a correction that does not need the Gazette skips the newspaper notice too.

ItemTypical cost
Affidavit (stamp paper and notary)₹200 – ₹500
Newspaper notice₹300 – ₹1,000 or more, depending on the paper
Gujarat Gazette, ordinary (Annexure-1)₹300
Gujarat Gazette, ordinary, single name (Annexure-3)₹1,000
Gujarat Gazette, Extra Ordinary, single name (Annexure-2)₹2,500
Gazette of India notification₹1,100 for an adult, ₹1,700 for a minor
Registrar correction feeSet by the office, usually small

If you’d like us to prepare the file, we quote our fee in writing after reviewing your documents, so you know the full cost before anything is filed. The office fee here isn’t standard across Gujarat, so we check it rather than assume it. A Gazette application is signed and sent by you, as the Gazette office requires.

How long a Gujarat correction takes

RouteTypical time
Correction at the registering officeA few weeks, depending on the office
Legal name changeAround 2 to 4 months; the Gazette step alone is usually 30 to 45 days

Special cases: children, marriage and applicants abroad

  • Marriage. Marriage does not change a birth certificate. A surname taken on marriage is a legal name change, not a correction; the passport office accepts a marriage certificate, but most other departments want the Gazette notification. See our guide to name change after marriage.
  • Children. A parent or guardian signs the affidavit and applies for the child. An adoption case also needs the adoption deed or court order.
  • Applicants living abroad. The name-change deed can be attested by the Indian Embassy or High Commission and a Gazette of India application sent by post. A family member can usually deal with the registering office in Gujarat on your behalf with written authorisation; ask the office what it accepts.
  • Gender transition. The law on changing name and gender on official records was amended in 2026. Our guide to birth certificate name change for gender transition explains the current routes.
  • Religious conversion. A new name taken on conversion follows the legal name change route; see name change after religious conversion.
  • A parent’s name is wrong rather than the child’s: see correcting a mother’s or father’s name.

If your Gujarat application is stuck

For problems with the portal, call the Digital Gujarat helpline on 1800-233-5500. The helpline covers the portal only; a stalled correction is decided by the registrar. For a correction that is not moving, ask the registrar in writing for the status, then take it to the District Registrar of Births and Deaths.

Common mistakes that delay Gujarat applications

  • Trying to apply on a portal link that no longer loads instead of Digital Gujarat or the office.
  • Going to the office nearest your home instead of the one that registered the birth.
  • An affidavit that does not match Aadhaar letter for letter.
  • Keeping only a scan of the newspaper notice when the original printed page is needed.

If your Gujarat application is rejected

A Gujarat registering office rarely rejects a correction outright without saying why, but it will often ask for a second document once the first one turns out not to be enough on its own. A school record alone, without an ID or address proof to go with it, is a common example — the office wants more than one thing pointing to the same correct name before it will change an official record. If your file comes back short a document, ask the registrar exactly which combination they need rather than resubmitting the same single paper again. Separately, if a district website sends you to the old CRS Gujarat link and it will not load, that is not a rejection. The page is dead, so apply through eNagar, Digital Gujarat or the office directly.

Example scenario

An illustration of how the rules above work in practice, not a client record.

A woman in Ahmedabad found her father’s name misspelled on her certificate and started, as her district’s website suggested, by clicking through to the CRS Gujarat portal. It never loaded, not once, over several attempts across different days. Assuming the fault was her connection, she tried from a cyber café before giving up on the link entirely and going straight to the Ahmedabad Municipal Corporation office instead. The office took her affidavit and her father’s Aadhaar as proof and processed the correction over the counter. The certificate was ready in under three weeks. The only real cost of the dead link was the days she spent trying it before someone finally told her to skip it.

Birth certificate name change in Gujarat: FAQs

Where do I correct a Gujarat birth certificate?

With the registrar of the body where the birth was registered: the Gram Panchayat, Taluka Panchayat, Nagarpalika or Municipal Corporation.

Should I use the CRS Gujarat site linked from district websites?

Some district websites still link to it, but it did not load when we checked in September 2026. Use Digital Gujarat or apply at the registering office.

What is the Digital Gujarat helpline?

1800-233-5500, toll-free.

Do I need a Gazette notification for a spelling mistake?

No. A correction goes to the registrar with supporting proof. The Gazette is for a legal change to a different name.

Can a name be added to a certificate issued without one?

Yes. Under the national rules, it is free within 12 months of registration and costs a small fee up to 15 years.

Does correcting my birth certificate update Aadhaar or PAN?

No. Each is a separate record. Update Aadhaar first, then use it with the corrected certificate or Gazette notification for the others.

Who can apply for a correction in Gujarat?

The person named on the certificate, once they are 18. For a child under 18, a parent or guardian applies. Where neither can attend, a close relative or someone authorised in writing can usually file, but ask the office what authorisation it accepts first.

How long does a correction take?

A few weeks, depending on the office that registered the birth. A legal name change takes longer: the Gazette step alone is usually 30 to 45 days after a complete application.

What if I no longer have the original certificate?

If you no longer have the certificate, ask the registering office for a duplicate before filing a correction; the correction is made on the record, and you need a copy to show what is wrong.

Do I have to use an agent?

No. Every step can be done by you directly with the registrar, and the Gazette office in Delhi does not accept applications through agents or advocates at all: the applicant signs and submits them. People use us to get the file right the first time, not because the law requires it.

Can I apply for the Gujarat Gazette online?

Yes. The Directorate of Government Printing & Stationery takes change of name and surname applications at egazette.gujarat.gov.in, with online payment and a searchable archive of published notifications. Create an account on the gazette system; the payment page alone does not submit an application.

What does the Gujarat Gazette cost?

The Directorate publishes three rates: ₹300 for Annexure-1 in the ordinary Gazette, ₹1,000 for Annexure-3 in the ordinary Gazette for a single name, and ₹2,500 for Annexure-2 in the Extra Ordinary Gazette for a single name. Newspaper and affidavit costs are separate.

Should I use the Gujarat Gazette or the Gazette of India?

Use the Gujarat Gazette when the department asking for proof is inside the state. Use the Gazette of India when you need nationwide acceptance, live outside Gujarat, or expect to use the notification abroad. It costs ₹1,100 for an adult and ₹1,700 for a minor.

Which portal handles a birth registered in a city?

eNagar, the state portal for municipalities and municipal corporations, which lists Ahmedabad, Surat, Rajkot and Vadodara among its cities. The corporation that registered the birth still approves the correction.
